Every job I have ever held, I have turned into a part-time job. Not by slacking, but by being ruthlessly systematic about how work actually gets done. A Fractional COO is not a project manager and not a virtual assistant. The role sits at the command layer of your business. Questions and decisions that are not actually yours to make stop landing in your inbox because there is a person and a process that handles them first. Team members have clarity about roles and accountability. Workflows are documented and followed. Problems get spotted before they become expensive.

WHAT I HAVE NEVER HAD HANDED TO ME

I have walked into every job I have ever had with a legal pad and a pen. I took copious notes because I do not like asking the same question twice after someone has shown me how something is done. Not once, in any of those jobs, did anyone hand me documentation for the tasks I was expected to perform. Not once.

That is the norm. It should not be.

If you are hiring people without documented SOPs, you are going to spend an enormous amount of time training, retraining, and answering the same questions on repeat. But here is the less obvious cost: you also do not really know what you want to delegate until you have mapped it out. Going through your own processes forces you to ask whether each step actually needs to exist, whether it could be automated, whether AI could sit in that workflow instead of a person.

SOPs are not just for your team. They are for you. They make your business more scalable because the knowledge lives in the document, not just in your head.

You can edit the output, add detail, and share it in a format that walks someone through the process step by step alongside whatever they are doing in the browser.

THE AI QUESTION NOBODY IS ASKING

Everyone is handing out AI prompts. What I am not seeing enough of is anyone talking about AI governance and management inside businesses. Who is responsible for how AI gets used in your workflows? Who decides which tools are approved? Who tests a new automation before it goes live? Who documents it? Who updates it when the AI capabilities change, because they will?

If you use contractors, do you know whether they are feeding your intellectual property into an AI tool to complete work you are paying them for? Did you give them permission to do that? Do you know what privacy settings they have enabled?

These are operational questions. They do not require a large company to matter. Every business using AI in any capacity needs usage guidelines. Since there is no federal framework yet and states are moving at very different speeds on privacy and AI regulation, being proactive is not optional if you care about protecting your business and your clients.
